The Four Transport Problems a Conference Has
Whether you are running the event, exhibiting at it, or bringing a team to attend, the transport falls into the same four buckets.
Airport Arrivals and Departures
Delegates landing at Indianapolis International across a whole day, often on flights nobody controls. We track every flight number and adjust automatically, so a delay costs nothing and nobody stands at the kerb. Meet-and-greet inside the terminal for VIPs and international arrivals.
Hotel to Venue Shuttles
Scheduled loops between the downtown hotel block and the Convention Center, or on-call service depending on how your programme runs. Sprinter vans for smaller groups, 28-passenger coaches when the numbers justify it.
Exhibitor and Staff Transport
Setup days, teardown, and the runs nobody schedules in advance. Exhibitor teams work different hours to delegates and usually need transport when the shuttles have stopped.
Client Dinners and Hospitality
Evening entertaining is where the actual business gets done at a conference. Held hourly so the vehicle waits between the restaurant and wherever the night goes next.
Indiana Convention Center and the Hotel Block
100 South Capitol Avenue, connected by skywalk to Lucas Oil Stadium and to most of the downtown hotel block. That connection is why Indianapolis wins conventions, and it is also why the transport problem is specific rather than general.
Inside the Skywalk
Delegates staying in connected hotels can walk. The transport question is about everyone else: arrivals, departures, offsite venues and evening entertaining.
Outside the Block
Overflow hotels in Plainfield, Carmel and the airport corridor fill first on a large convention. Those delegates need a shuttle, and they are the ones most likely to be late without one.
Airport Corridor
The hotels between IND and Plainfield take a large share of convention overflow. Fifteen to twenty minutes from the terminal, about twenty-five into downtown.
A City That Runs on Conventions
Indianapolis hosts something at the Convention Center in most weeks of the year, and several of them are among the largest gatherings in their industry.
The National FFA Convention brings upward of sixty thousand people to the city each autumn. Medical, dental and healthcare conferences fill the calendar alongside industrial, engineering and education associations. The NFL Combine takes over Lucas Oil and the Convention Center every February.
What that means practically is that we plan around a convention calendar rather than being surprised by it. If your event is on the schedule, we already know the week is busy and we book accordingly.
It also means the hotel block fills earlier than people expect. Transport should be arranged at the same time as accommodation, not afterwards.
Vehicles for Conference Work
Group size and schedule decide it. A scheduled shuttle loop and a VIP airport collection are different jobs.
Photographs show vehicles from our fleet. Interiors are refreshed periodically and vehicles are rotated through service, so the finish of the vehicle supplied may differ in detail from the images here. Capacity and vehicle class are confirmed when you book.

Motor Coach
Full-size coaches with an onboard restroom, WiFi and under-floor luggage bays. For large delegate movements and airport group transfers where checked bags are involved. See charter bus rental.

Executive Mini Bus
Scheduled hotel loops and large delegate movements. Lowest cost per head by a distance, and the vehicle most conference organisers end up booking.

Mercedes Sprinter
Exhibitor teams, board groups and smaller shuttle runs. Individual climate control and room for equipment or samples.

Cadillac Escalade
Keynote speakers, executives and VIP arrivals. Meet-and-greet inside the terminal on request.

Chevrolet Suburban
The most luggage capacity of any six-seater we run. Useful when exhibitors are travelling with cases or display material.

Inside the Mini Bus
Forward-facing coach seating with overhead storage and air conditioning. Built for moving groups comfortably on repeated loops.

Inside the Sprinter
Premium leather seating with individual climate control. Comfortable enough for a board group to keep working between stops.
Booking Conference Transport
Send us the dates, the venue, the hotels involved and rough delegate numbers. From that we come back with a plan and a flat rate, rather than an hourly figure and a hope that it fits.
For repeat organisers and exhibitors, an account removes the administration. One consolidated monthly invoice with cost centre references, agreed rates for routine routes, and priority dispatch during convention season. Standard terms are net 30.
Procurement teams can request a certificate of insurance and we will send it the same day. We are members of the Global Business Travel Association and the National Limousine Association, which covers most supplier accreditation requirements.

From the very start Indy Executive Limo was easy to work with. Our driver, GP, showed patience, flexibility and kindness. This is our second year using this company and their service has been consistently excellent.
Tonya LintonThe bus was clean, comfortable, spacious, rode smooth, and was stocked with plenty of goodies. Our driver was on time, professional, and overall a good time. I felt safe while still being able to let loose and enjoy myself.
Quanica OyeBooked a van for a wine tour. Mitch, the driver, had hangover kits for everyone. He took us to four different wineries and we had a great time. Cannot wait to do another one.
Deandra DuncanConference Transport FAQ
Can you run scheduled shuttle loops?
Yes. Fixed loops between the hotel block and the Convention Center on a published timetable, or on-call service if your programme is less predictable. We will tell you honestly which suits your delegate numbers better.
Do you handle airport arrivals across a whole day?
Yes, and it is the most common conference request. Delegates land at different times on flights nobody controls. We track every flight number and adjust automatically at no extra cost.
Can you provide a certificate of insurance?
Yes, the same day. Every vehicle carries full commercial insurance and passes regular safety inspection, and every chauffeur is licensed and background checked.
How is it billed?
Conference work is usually quoted as a flat rate for the programme. Repeat organisers and exhibitors can move to a monthly consolidated invoice with cost centre references and net 30 terms.
How far in advance should we book?
As early as the hotel block. Large conventions take most of the available vehicles in the city for that week, and the FFA Convention in October is the clearest example. If your event is on the Convention Center calendar, so is everybody else’s transport requirement.
Do you cover offsite venues?
Yes. Evening events at downtown venues, Lucas Oil, the museums and the canal, and restaurant transport for client dinners. See our downtown service.
